Code
| A unique code assigned to the employee. For example, 0004. You can search for an employee using this field. TIP: If the details you enter match an existing employee record, a Matching Employee Records window appears. To reactivate an existing employee record, click Use Record then click Next and click OK. |
Surname | The employee's surname. |
First Name | The employee's first name. |
PPS Number | The employee's PPS (Personal Public Service) number, as specified on the P2C tax certificate. If you haven't got the employee's PPS number, you must specify their first name, surname, home address and date of birth. |
Employment ID | This field holds a unique value for each employment. The Employer registration number and the employee's PPS number create an employment record from 2019 onwards. To save you time, Sage Payroll has automatically allocated each of your employees with a default Employment ID value of 1. Only change the Employment ID value for an employee, if one or both of the following scenarios apply: - The employee left and then rejoined your company in the same tax year
- The employee has multiple employments with your company

Department | The department code for cost analysis. Click the drop-down list button to locate a department code already set up. You can also create a new department by entering a code that doesn't already exist on the system. |
Cost Centre | The cost centre code for cost analysis. Click the drop-down list button to locate a cost centre already set up. You can also create a new cost centre by entering a code that doesn't already exist on the system. |
Address | The employee's home address. |
Eircode | If the employee's postal address includes an eircode, specify it here. For more information, visit Eircode |
Post Code | If the employee's postal address includes a post code, specify it here. |
County | If the employee lives in Ireland, select the relevant county they reside in. |
Country | The country the employee lives in. |
Email | This field enables you to specify the employee's e-mail address. To send the employee's electronic payslip, you need to enable Emailed payslips capability. |
Telephone | The employee's land line phone number. |
Mobile | The employee's mobile phone number. |
Gender | Select Male, Female or Prefer Not To Say, as appropriate. |
Director | If the employee is a director of the company, select the Director checkbox then specify the relevant Type. The Director Type indicates whether or not the employee is a proprietary director. A proprietary director is a beneficial owner or director who controls directly or indirectly more than15% of the company’s share capital. |
Account Name | The employee's bank account name. By default, this field contains the employee's first name(s) and surname. |
IBAN | The IBAN (International Bank Account Number) identifies an individual bank account, financial institution and country of origin. It's not a new bank account number, but it forms from existing account numbers and sort codes, with additional information. From February 1, 2014, you must use the BIC to identify accounts when making Euro payments as part of the SEPA initiative. Click Edit if you need to enter the IBAN or BIC manually. |
BIC | The BIC (Bank Identifier) Code is a standard identifier for banks internationally. A BIC consists of either 8 or 11 digits. Sort Code | The employee's bank sort code. This is a requirement if you pay the employee by Paypath bank transfer. |
Account Code | The employee's bank account number. This is a requirement if you pay the employee by Paypath bank transfer. |
Cr Union A/c | The employee's credit union account number, if relevant. This field is only available when you select the Enable Credit Union Transfer checkbox in the Bank tab of the Company/Payroll Details window |
Salary Rev. Date | A salary review date, used for reference purposes only. |
Start Date | The employee's first day in this employment. |
Max Nett Pay | If the employee earns more than this amount in a pay period, the Control Summary Report prints a warning. This value supersedes the value entered on the Company/Payroll Details screen. |
Min Nett Pay | If the employee earns less than this amount in a pay period, the Control Summary Report prints a warning. This value supersedes the corresponding value in the Company/Payroll Details screen. |
Photo | You can display a BMP image of the employee in this box by naming the file according to this syntax: 'employee_number.bmp', and then saving it to the payroll's data folder. For example, you will call a photo of employee 001, a file name 001.BMP. If the image is the correct name and stored, it automatically displays when retrieving the employee record. There's no facility to browse to the image file, or to select it. |
