ERROR: 'The setup of the 202X payroll data failed. An error occurred while...'

Summary

Resolve the error when setting up the new tax year in Sage 50 Payroll Ireland.

Description

When you process year end, Sage 50 Payroll Ireland transfers your data from the current tax year to the new one. During this setup, you may see the following error:

'The setup of the 20XX payroll data failed.

An error occurred while clearing the RPN logs in the new 20XX payroll data.

The 20XX payroll data cannot be created.'

This is caused by corruption in your Direct Payroll Reporting files during the tax year. 

This error happens if your Direct Payroll Reporting files become corrupted during the tax year.

Before you restore, check that your RPN and submission logs show a full record of data sent to and retrieved from Revenue.

Resolution

To fix the issue, restore your Direct Payroll Reporting files to a point before the corruption. Then set up the new year.

 NOTE: After you set up the new year, you can restore your Direct Payroll Reporting files to their original state to view your submission and RPN logs. 

Backup your current files

  1. Log in to Sage 50 Payroll Ireland as the system administrator.
  2. Go to Miscellaneous, then select Backup
  3. Under Backup, select the relevant payroll. 
  4. Select Browse, choose where to save the backup, then select OK.
  5. Select Backup, then select OK

Restore your Direct Payroll Reporting Files

You need to restore your Direct Payroll Reporting files to a point where they worked. The easiest way is to restore them to the first processed period of the tax year.

This also means restoring the data files temporarily to that period.

  1. Go to Help, then select System Information.
  2. Make a note of the Data Directory
  3. Go to Miscellaneous, then select Restore
  4. Select Browse, then go to the path noted in step 2.
  5. Double-click the payroll folder, then select Archive, then the tax year folder. 
  6. Select the PRD01 folder, then select OK.
    • If you don't have a PRD01 folder, select the next oldest folder eg, PRD10. Don't select PRD00.
  7. Under Restore, select the payroll and also select Direct Pay. Rpting Data
  8. Select Restore, then select OK

 NOTE: If no archive folders exist, restore from a manual backup taken during the year. For more help, contact support.


Restore your data Files

Before you set up the new year, restore the data files, but not the Direct Payroll Reporting files, back to the current period. This ensures your processing and employee list are up to date.

  1. Go to Miscellaneous, then select Restore
  2. Select Browse, then go to the backup you created in the Back up your current files section.
  3. Under Restore, select the relevant payroll. 
     CAUTION: Clear the Direct Pay. Rpting Data option at this stage.
  4. Select Restore, then OK.

Reinstall Sage 50 Payroll Ireland

  1. Download and install Sage 50 Payroll Ireland.
  2. Right-click the installation file, then select Run as administrator.
  3. In the install wizard, select Server install.
  4. Confirm the data pathway is correct.
  5. When the installation completes, set up the new tax year.

Next steps

You can now log in to the payroll and set up the new tax year. Continue your year end process as normal.

 TIP: To view submissions and RPN logs for the old tax year, restore the Direct Pay. Rpting Data files again after you set up the new year.
