Before you start

NAERSA decide each employee’s auto-enrolment status. If you're retrieving AEPNs for the first time and you don’t see the status you expect, NAERSA may not have assessed recent employee changes. These changes can include:

  • New starters
  • Employees who’ve just joined a pension scheme
  • Employees who’ve moved departments or roles

If this happens, try again closer to your payroll run. If you still don’t see an update, speak to NAERSA for confirmation. If no AEPNs are available to download at all, close the Retrieve AEPNs window and continue to enter time and pay.


Retrieve AEPNs

  1. On the top toolbar, go to Direct Payroll Reporting, then select Retrieve AEPNs.
  2. Under ROS Digital Certificate, select Browse.
     TIP: If your ROS login details already appear, skip to step 8. 
  1. Select Certificate Files (*.p12, *.p12.bac), then select Open.
    • If you can't see your digital certificate, choose All Files (*.*)
    • If you recently downloaded a new digital certificate, select the one with the most recent Date Modified
    • If the certificate still doesn't appear, download your ROS certificate again
  2. Enter your ROS digital certificate password, then select the Save password to Sage Payroll check box.
  3. Select Next, then check the details on the Review AEPN Details screen.
     TIP: To view an employee’s AEPN breakdown, select the Info button. 
  1. If no new AEPNs appear, select Close, then continue to enter time and pay as normal.
  2. If the information is correct, select Import.
  3. To complete the process, select Finish.

View AEPN changes

You can view AEPN changes in the Employee Audit report. For guidance on running a manual report in Standard Report Writer that only shows AEPN changes, see the Employee Audit report.
