Download your ROS Certificate
Description

Before you can retrieve your Revenue Payroll Notifications (RPNs) in Sage Payroll, you need to download your ROS certificate.

You can also download your certificate again if:

  • You receive an error: Cert is not active. Revenue could've revoked the certificate, or it could've expired
  • You have an old certificate on your computer and you've since changed your ROS password
  • The system doesn't recognise the file type. To ensure the system recognises the file, you need to make sure you have the latest certificate

NOTE: If you have any problems downloading your ROS certificate from the Revenue website, contact Revenue.

Create a ROS folder on your desktop

  1. Right-click an empty section of your desktop then click New then click Folder.
  2. Rename the new folder to ROS.

If you already have a ROS folder on your desktop, open this folder and delete any old certificates. The filename will end with .p12 or .p12.bac.


Download the certificate

  1. Go to ROS login page
  2. Click Manage My Certificates and click to Save a copy of the certificate.
    Then Manage My Certificates screen on the Revenue Online Services webpage.
  3. To download the certificate, click Save. The file automatically downloads.

Move your ROS certificate

  1. Press and hold down the Windows key and press E.
  2. Click your Downloads folder then locate the file.
    NOTE: The file extension will end with .p12.bac, you can also check that the date and time modified are the date and time you downloaded the file.
  3. Right-click the file then click Copy then open the ROS folder you created earlier and right-click then click Paste.
  4. Check that the filename doesn't have any invalid characters.
     NOTE: If you see a number in brackets, it means you've downloaded the file multiple times, which can prevent you being able to identify it. If this occurs, right-click the file, click Rename and remove the number in brackets.

You can now Retrieve Revenue Payroll Notifications (RPNs) in Sage Payroll.


Common errors when logging into Revenue

Error Details Solution
Cert is not active. This appears if the digital certificate you're using isn't active You need to download a new copy of the certificate.
Failed to validate cert - The specified password is incorrect. The password used cannot decode the certificate. Check and enter the correct password.
Cert does not have appropriate permissions. To correct this, you need to ensure that you're using the correct digital certificate. To verify the certificate, log into Revenue's website with it and check the company's details. You can download a new copy of the certificate.
ROS Digital Certificate has expired. This appears if the digital certificate you're using has expired.  You need to download a new certificate.
Employer Registration Number and ROS Digital Certificate must be linked. The certificate in use is not linked to the Employer Registration number in Company Details.  You need to update the Employer Registration number in Company Details, or check the correct certificate is in use. 
Employer Registration number was not found. This message will appear if the incorrect employer registration is in the company details.  Check that the employer registration number is correct.
Cert must be set up with permissions to use payroll functions. The certificate in use does not have access to payroll functions on ROS. Check that the certificate in use can access payroll functions on the ROS website. You can use a different certificate that has permission, or request a new certificate from the Revenue. You can download a new copy of the certificate.
