Step 5 - Run any relevant reports depending on what you need to reprocess Export the following reports Check all reports before re-entering as they can be inaccurate due to the corruption. Depending on the extent of corruption, some transactions won't export. Transactions NOTE: If you open the report in Excel, it can reformat and cause errors when importing. To view the contents, open the report in Notepad. - Go to Transactions, then Reports, and select Transactions on the left.
- Select the Transaction CSV (PP=>PA AND SR=>SA) report and press Export.
- Select the Save as type dropdown and choose CSV Files (*.csv).
- Browse to a location of your choice and press Save.
- In Criteria Values window, select Between (Inclusive) in the Transaction No line.
- In the first field, enter one number higher than the transaction number noted in step 3. For example, in step 3 you noted 5000, enter 5001.
- In the second field, enter 9999999 then press OK.
Customer, supplier, and product records Export the following reports as a CSV files: ▼ Customer records - Go to Customers then select Reports.
- On the left-hand menu, select Customer details, then select the Customer Record CSV report.
- Select Export at the top of the window.
- Select the Save as type dropdown and choose CSV Files (*.csv).
- Browse to a location of your choice, press Save, then OK.
▼ Supplier records - Go to Suppliers then select Reports.
- On the left-hand menu, select Supplier details, then select the Supplier Record CSV report.
- Select Export at the top of the window.
- Select the Save as type dropdown and choose CSV Files (*.csv).
- Browse to a location of your choice, press Save, then OK.
▼ Product records - Go to Products and services then select Reports.
- On the left-hand menu, select Product details, then select the Product Record CSV report.
- Select Export at the top of the window.
- Select the Save as type dropdown and choose CSV Files (*.csv).
- Browse to a location of your choice, press Save, then OK.
Invoices and orders If you use Invoices and credits, sales orders, or purchase orders, print any invoices or orders after the numbers noted in step 3: | Last invoice number: | | | Last sales order number: | | | Last purchase order number: | | Stock Once reprocessing is complete, run a product details report to check stock levels. - Go to Products and services, select Reports, then select Product details.
- Select the Product Details report and choose either Print or Export as required.
Step 6 - Print any VAT Returns or bank reconciliations you’ve ran since the error free backup VAT Return - Go to VAT, select the required Return, then select VAT Return at the top of the window.
- Press Print and select the VAT Return, Summary and Detailed checkboxes.
- Select Printer, press Run, then OK.
- Repeat from step 1 for all affected VAT Returns.
Bank Reconciliation - Go to Bank Accounts and open the required bank account.
- Select the Memo tab and open the Statements folder.
- Double-click and print the required statements.
Step 7 - Restore the error-free backup from step 2 - On the menu bar, go to File then select Restore.
- Press Browse then browse to where you saved your backup.
- Select it then press Open.
- Press OK then Yes.
- Press OK, enter your logon name and password, then press OK.
- Now you've restored your backup. We recommend you check your data.
Step 8 - Set up Schedule backups The Backup Manager simplifies your backup routine. It schedules automatic backups, words while you use Sage 50 Accounts or while it's closed. it also runs Check data automatically and you'll see check data results for all companies in one place. To set up a backup schedule: - Open Sage Accounts and log in using the manager logon name and password.
- On the menu bar, go to File, select Schedule back up, then select the Settings tab.
- Enter your backup schedule settings as required. Follow our manage your scheduled backups and check data results article.
Step 9 - Reprocess using the reports made Import any customers, suppliers, or products If you've added customers, suppliers or product codes since the error-free backup, import the relevant CSV report from step 5. Or, you can manually add the new records required. - On the menu bar, go to File, then select Import then press Next.
- In the Data type window, select the type of data you want to import, then press Next.
- In the Data source window, select Comma separated (*.csv).
- Press Browse and locate and select the file to import.
- Press Open then Next.
- Press Load Map then select Shared mappings.
- Select the extended map, for example Customer record (extended).map, then press Open.
- Press Next, then select Import or Finish.
- If the import is successful, a list of transactions imported appears in the Record Imported pane. Press Close.
If the import is unsuccessful, a list of import errors appear in the Records not Imported pane. - If available, press Edit import to amend the original import file, then press Close.
- Attempt to import again.
Re-enter invoices and orders Re-enter any Invoices and credits and/or Sales orders, and Purchase orders you printed in step 5. When reprocessing, if you update the ledger for these invoices and orders, you must delete the transactions to avoid duplication when importing your audit trail. NOTE: If you use Sales orders, when you update these, the software creates a corresponding invoice. Avoid re-entering the invoice again as this creates a duplicate. Imported audit trail Before importing, check for errors: - Delete any incorrect transactions and remove cancelled transactions.
To import your audit trail file: - On the menu bar, go to File, select Import, then press Next.
- Select Audit Trail transactions then press Next.
- In the Data source window, select Comma separated (*.csv).
- Press Browse and locate and select the file to import.
- Press Open then press Next.
- Press Load Map then open Shared mappings.
- Select Transaction (extended).map then press Open.
- Press Next then select Import or Finish.
- If the import is successful, a list of transactions imported appears in the Records Imported pane.
- Press Close.
If the import is unsuccessful, a list of import errors appear in the Records not Imported pane. - If available, press Edit import to amend the original import file, then press Close.
- Attempt to import again.
- Re-allocate any transactions as the import routine doesn't allocate them automatically.
TIP: If you’re importing .csv files, Excel can show credits as a negative value that can affect your import. We recommended that you change negative values to positive values before importing. Reprocess VAT Returns Reprocess and reconcile any VAT Returns and mark as submitted if applicable. You don't need to resubmit the return to HMRC. You don't need to post the VAT transfer or post any payment or receipt. The audit trail import above includes these. Bank reconciliation - Reprocess any bank reconciliations based on the reports you printed in step 6 above.
Stock Check the Product details report you ran in step 5. - If any stock levels are different, correct the quantities and cost prices.
- Once you’ve completed the steps, check your data, backup and then start processing as normal.
