Description | NOTE: The Projects and Purchase orders modules are only available in Sage 50 Accounts Professional. If you're interested in upgrading, leave your details and we'll be in touch. If you're buying the stock for a specific project. When you put the order on-order, this allocates the stock to the project and creates a committed cost against the project. This means you can see what costs you've committed to for a project before you've received the order. Once the order's delivered, you can issue the stock to the project, creating an actual cost against the project. |
Resolution | Generate and update a purchase order for a project - Go to Purchase orders then select New.
- Enter the date and supplier account reference as required.
- If the whole order relates to one project, enter the Project Ref and Cost Code. If different products on the order relate to different projects or different cost codes, leave these boxes blank.
- Enter the relevant product code then press the F3 function key on your keyboard.
- Enter the following information as required:
Quantity | Unit Price | Discount | Nominal | Department | Tax Code | Required quantity | Unit price of the product | Enter either a discount % or amount in GBP | Enter the required nominal code | Enter a department, if applicable | Enter the required tax code | - If you didn't enter a project ref and cost code in step 3, enter the relevant project reference and cost code in the Project Information area then click OK.
- To enter further products onto the purchase order, repeat steps 4 to 6.
- Click Save then click Order Now.
- Print the required order then click Yes. When the purchase order is on-order this appears as a committed cost in the Analysis tab on the project record.
- Receive deliveries click Yes, then select Print Now or Print Later.
- Select Update ledgers then click Update. Any non-stock or service items have a project ref and cost code against their transaction in the Batch Supplier Invoice window.
CAUTION: Don't enter a project reference against any stock items, as this posts an actual cost. This would double account your actual cost as, when issued, the stock on the purchase order also shows as an actual cost. - Click Save.
NOTE: If you receive the warning 'If you have already entered a project reference for these items on the purchase order, they will automatically become a realised cost when the stock is issued. You may be double-accounting for these items.' Check you haven't entered a project reference, click Yes. Any non-stock or service items now appear as an actual cost on the Analysis tab of the Project Record. To make stock items an actual cost, issue them: - Go to Products and services then select Allocations
