How to process the Cycle to Work Scheme for your employees in Sage Payroll.

Description

As an employer, you can purchase bikes and accessories tax free for your employees. Then over an agreed time frame, deduct the net cost from their wages.

This benefit means your employees receive the full benefit of tax, universal social charge (USC), and social insurance (PRSI) relief on these amounts. Your company also pays less employer PRSI on these amounts.

Set up a bike to work deduction

  1. From the menu bar at the top of your window, click Company/Payroll then click Deductions.
  2. Click New, then complete the following information:
    Title Enter a name for the deduction, for example, Bike to Work.
    Type Click Gross.
    Sub-Type Click Standard.
    Multiply by the number of holiday periods Select this checkbox to adjust the value of the deduction to the number of holiday periods you enter on the employee's timesheet.

    This option is only available in weekly and fortnightly payrolls.

     

      NOTE: This checkbox doesn’t affect employee holidays. 

    Balance Type Click Reducing balance.
  3. Click Save, then click Close.
 TIP: If the deduction exceeds the limit in the Rates and limits above, set up an additional nett deduction for the amount. This ensures it deducts after any further tax, PRSI, and USC calculate. 

 


Assigning the deduction to an employee

  1. From the menu bar, click Processing then click Employee Details
  2. Next to the Surname box, click browse and click the relevant employee.
  3. Click the Deductions tab.
  4. Locate the bike to work deduction, then enter the following information on the same entry line:

    Std. E’e Amt Enter the amount you want to deduct from the employee each pay period.
    Balance E’e Enter the total amount of the deduction.
  5. Click Save, then click Cancel.

You've now assigned a bike to work deduction to this employee. In each subsequent pay period, when you process the employee's pay details, the deduction balance gradually reduces. When it reaches zero, the deduction stops automatically.
