Create a new employee - tax details and opening balances
Description

When migrating your Payroll data, you can set up records for employees you’ve paid in the current tax year. This guide helps you to complete the Tax Details and Opening Balances fields.

You get these options when you select to migrate your payroll data.

Tax Details

▼Employment Details
Pay Cycle Choose how often you want to pay the employee.
Works Number Enter the unique code that identifies the employee. For example, a payroll number.
Start Date Enter the date the employee started working with your company.
Finish Date

If the employee has left your employment in the current tax year:
Enter the date they finished working for you.

If the finish date is earlier than the current pay run:
The employee isn’t available for payment.

They don’t count towards your licence limit.

They are in your year end reports.

Employment Type The status of the employees contract type.
Contracted Weekly Hours How many hours the employee's contracted to work per week.
Payment Method Choose whether you pay your employee by cash, cheque or bank transfer.

PRSI Exempt Check if the employee is exempt from Pay Related Social Insurance (PRSI)
PRSI Code Choose the employee's current PRSI code.
Tax Status Enter the employee’s current Tax code.
Std Cut Off (Yearly) Enter the yearly standard rate cut off value that Revenue has assigned to this employee.
Tax Credits (Yearly) Enter the yearly tax credit value that Revenue has assigned to this employee.
Margin Relief Rate Check this box if the employee's income exceeds the standard rate cut off point.
Director Check if the employee is a director.

Opening Balances

If the employee started in this employment during the current tax year, select the Paid this tax year checkbox

Taxable Pay This Employment Enter the employee’s taxable gross pay received so far this tax year, for this employment. If the employee started during the tax year, this value is for the current employment only.
Tax This Employment Enter the amount of tax paid to date by the employee in this tax year for this employment. If the employee started during the tax year, this value is for the current employment only.
USC Pay This Employment Enter the employee’s total gross pay that’s subject to Universal Social Charge (USC). This is for this employment only. If the employee started during the tax year, this value is still for the current employment only.
USC Paid This Employment Enter the amount of USC paid to date by the employee in this tax year for this employment. If the employee started during the tax year, this value is still for the current employment only.
PRSIable Pay Enter the employee’s total gross pay that’s subject to PRSI calculation in this tax year. For this employment only.
Employee PRSI Enter the amount of PRSI paid to date by the employee in this tax year for this employment.
Employer PRSI As an employer, enter the amount of PRSI you paid on the employee’s behalf in this tax year.
PRSI Class and Ins Weeks Choose the PRSI classes that the employee has been on during the tax year. Enter the total number of insurable weeks for each class.
▼Taxable Illness Benefit paid this tax year
If the employee has received any Illness benefit this tax year, select the Taxable Illness Benefit paid this tax year checkbox. This is the amount claimed from DSP after the employee has claimed five days of SSP.
Illness Benefit  The monetary value they’ve received during the tax year.
▼BIK payments made this tax year

If the employee has received any Benefit In Kind (BIK) payments this tax year, select the BIK payments made this tax year checkbox. Enter the BIK amounts received to date this tax year in the relevant options.

Medical Insurance paid by employer The total of any medical insurance received. 
Company Car The total value of any company car benefit.
Staff Housing The total of any accommodation cost provided by the employer.
Other BIK Any other benefit the employee received that doesn't fall under the other headings.
▼Share remuneration this tax year
If the employee has received any share remuneration payments this tax year, select the Share remuneration made this tax year checkbox. Enter the amounts received to date this tax year in the relevant options.
Taxable Shares The taxable pay or benefit the employee receives in the form of shares or share-related rights of (or in addition to) cash pay.
Non-Taxable Shares The non-taxable amount of the above.
▼Pension Contributions made this tax year
For pension contributions made by the employee or the employer on their behalf, select the Pension Contributions made this tax year checkbox. Enter the total employee and employer contributions made to date.
Employee Pension Any payments made by the employee into their Workplace pension. 
Employer Pension Any payments made by the employer into their Workplace pension. 

Employee PRSA

Any payments made by the employee into their Personal Retirement Savings Account (PRSA).
Employer PRSA Any payments made by the employer into their PRSA.
RAC
Any payments made to the employees Retirement Annuity Contract (RAC)
▼Paid local property tax this tax year
If the employee has paid local property tax (LPT) this tax year, select the Paid local property tax this year checkbox. Enter the total LPT amount paid by the employee to date in this tax year and the date of commencement.
Total LPT Deducted Any LPT deducted during the tax year.
Date LPT Started The date that LPT deductions started.
