What happens when I save my credit note?

  • When you create the credit note, it uses the next number in sequence

    EXAMPLE:

If the last credit note you saved was number SCN-101, the next one uses number SCN-102, etc.

  • We create the timeline on the credit note. We update this when you send your credit note and when your customer views it
  • The credit note appears in your Sales Credit Notes list
  • We update your ledger accounts. This includes your Aged Debtors account, which shows the total amount your customers owe you. We also update the individual ledger accounts you used on the credit note
  • If the credit note contains stock items, we update your stock levels. We track your stock by recording stock movements each time you buy and sell a stock item. Whenever you record a sales credit note that includes a stock item, we post a Negative Goods Out transaction. We automatically increase your stock levels for this item
  • We update the customer's activity and balance. We reduce the balance due by the amount of the credit note
  • You can print or save the sales credit note or email the sales credit note to your customer

Save a credit note as a draft

If you've entered your credit note details but you're not ready to send it and update your accounts, you can save it as a draft. This format doesn't update your accounts, and allows you to come back when you're ready to finalise the details of the credit note.

â–¼Create a draft credit note?

  1. Create the sales credit note as usual.
  2. At the bottom left of the New Sales Credit Note screen, select Save as draft.
  3. Select Save.

We save the credit note as a draft and don't update your accounts. When you're ready to finalise the details, clear the Save as draft checkbox. You can then select Save to create the credit note and update your accounts.
