Transfer employees to another payroll
Description

If you process multi-frequency payrolls, use the Transfer Employee wizard to move personal details and year-to-date payroll values to another payroll, without manual data entry.

 NOTE: This process is not for transferring employees to a new company with a new employer registration number.

Before you transfer employees

You need to check that:
  • Both the destination payroll and source payroll must be at Start of Period
  • You assign the destination payroll to the same company as the source payroll. You can review these settings in Company Setup, after you Log into Sage Payroll as the system administrator

  • The destination payroll must have the same employer registration number as the source payroll.

    To check this, log in to the relevant payrolls, click Company/Payroll, click Company Details, then check the Employer Reg. No

  • Transferred employees have a single line of year-to-date values in the ETP tab of their employee record. This ensures that cumulative payroll calculations are correct
  • Ensure there aren't any special characters in your payroll password. For example, $ @ # £. These can cause an 'incorrect password error message to appear 

Transfer employees to another payroll

  1. Click Processing then click Transfer Employees, then click Transfer Employees.
  2. In the Select Destination Payroll window, select the payroll you want to transfer employees to.
  3. If prompted, enter your password for the payroll your moving the employees to, then click Next.
  4. In the Select employees to transfer window, select the relevant employees to transfer.

    To transfer all employees to another payroll, tick the Select All option.

    To search for an employee, enter their name, PPS number or employee code.

  5. Within Transfer Summary, the employees appear with the old and new employee codes.
  6. To view a log of the transferred employees, click on View Log. To close the window, click Finish.

    The post-transfer checklist opens automatically. Once under review, you can apply it to the payroll.


Employees in the destination payroll

Once you have transferred the employees into the destination payroll, there are some things to be aware of:

  • Standard amounts and year-to-date values in the Payments and Deductions tab of the employee record aren't transferred
  • The Cumulative Control Totals in the Control Summary Report have an extra column for values relating to transferred employees
