Set up payroll access groups and users
Description

Create at least one user profile before processing in Sage Payroll. Set passwords and access rights for security. For example, some users handle payroll but not year-end tasks.

Set up an access rights group

  1. Log into Sage Payroll as the system administrator.
  2. On the menu bar, click Security then click Group Details.
  3. In the Group No. box, enter a new group number. Alternatively, if you want to edit an existing group, click browse and click the relevant group.
  4. In the Group Name box, enter a name for the group.
  5. Click Find, then click OK.
  6. Click Rights.
  7. On the menu bar, click the options you want this group to have access to.
    When you click an option for the group, a tick appears next to it. To allow users to exit and access the login window, you must click the Login and Exit options.
  8. To save the group settings, right-click Rights - Group Details on the title bar, then click Save.
  9. Click Save, then click Cancel.

Set up a new payroll user profile

  1. Log into Sage Payroll as the system administrator.
  2. On the menu bar, click Security then click Users.
  3. Click Add, then complete the following information:
    NameEnter the user name. You can use a maximum of eight characters.
    GroupSelect the access rights group to which the user belongs.
    PasswordClick Change Password. Enter your password into the New Password: and Confirm New Password: fields. Your password must be:
    • Be between eight and 15 characters
    • Contain at least one letter
    • Contain at least one number
    • Contain at least one special character

  4. Click OK, then click Cancel.

Remove a user profile

  1. Log into Sage Payroll as the system administrator.
  2. On the menu bar, click Security then click Users.
  3. Click the user you need to remove.
  4. Click Delete, then click OK.
