Use a previous year's archive data

If you want to produce a balance sheet, profit and loss or trial balance report for a previous financial year, the best option is to run the relevant reports from within your previous year's archived data. This is the only option for a profit and loss report.

Use Transactional management reports

If you didn't archive your data, provided you haven't cleared the audit trail for the reporting period, you can run the following reports within your current data to show your prior year figures, excluding your year end journals. 

  • Transactional Balance Sheet
  • Transactional Trial Balance

 NOTE: Sage 50 Accounts Essentials doesn't include these reports. You must use your archive data instead.

Locate your ledger year end journals

  1. On the navigation pane, click Transactions.
  2. In the search window, type Ledger Year End, then press enter.
  3. Check the date field to confirm the financial year end journals for the required year.
  4. Make a note of the transaction numbers of the first and last ledger year end journals. In this example, they're 1242 to 1285.

Run the transactional management reports

 CAUTION: There's currently an issue with the Criteria window, preventing you from filtering your transactions. Please use the alternative solutions provided above. 

  1. Click the relevant management report. For example Balance Sheet.
  2. Click the Transactional Profit and Loss report, then click Preview.
  3. In the Criteria window, set the criteria as follows:
    Criteria Operator From To
    Transaction Date Between (inclusive) The required start date, for example, the start of the previous financial year. The relevant year end date.
    Transaction No Outside (exclusive) The transaction number of the first ledger year end journal for the relevant year. The transaction number of the last ledger year end journal for the relevant year.
  4. Click OK.
  5. When you have the information you need, to discard your search and return to the full transaction list, click the Filter symbol next to the Filter button.
