How do I view project costs and compare to budgets?
Description

When working with projects, you can enter budgets for each project, broken down by cost code. You can then use the Enquiry option to analyse the actual costs against budgets for each project, cost type and cost code. Let's take a look.

Enter budgets for a project

  1. On the navigation bar click Projects, click the required project, click Edit then click Budgets.
  2. Enter the required budget values against each cost code.
The information you enter here updates the Total budget value on the project record Analysis tab.


Analyse cost v budget for the entire project

On the navigation bar click Projects, click the required project then click Enquiry.



Project Reference and NameThe project reference and name appear here. If the project has any sub-projects, to view these, click the plus sign to the left of the Name.

View TypeChoose to view the project structure by name or by reference.
ActualTotal value of all cost postings for the project.
CommittedTotal value of all committed cost postings for the project.
BudgetTotal budget for the project.
VarianceCalculates as Budget - Actual.
If the Include committed costs in variances check box is selected, this calculates as Budget - (Actual + Committed).
Include committed costs in variancesTo include committed costs in the Variance figure, select this check box.

Analyse cost v budget broken down by the different cost types

  1. On the navigation bar click Projects, click the required project then click Enquiry.

  2. To view the cost v budget broken down by Cost Type, double-click the required figure in the Actual column.


     
    Project Reference and Name

    The project reference and name appear here. If the project has any sub-projects, you can use the plus sign to the left of the Name or Reference to view the sub-projects.

    ActualTotal value of all cost postings for the project.
    CommittedTotal value of all committed cost postings for the project.
    BudgetTotal budget for the project.
    VarianceCalculates as Budget - Actual.
    If the Include committed costs in variances check box is selected, this calculates as Budget - (Actual + Committed).
    Include sub projects>To include the values for all sub projects, select this check box.
    Include committed costs in variancesTo include committed costs in the Variance figure, select this check box.

  2. To view the cost v budget broken down by cost type, double-click the required figure in the Actual column.
  3. To view the cost v budget broken down by cost code, double-click the required figure in the Actual column.

    To view the individual transactions, double-click the relevant Actual figure.
