Customer record and Supplier record defaults
Description

When you use customer and supplier records in Sage Accounts, some information and settings may apply every time a record is used. For example, your trading with a particular customer may always use the same tax code or nominal code.

To save you time, you can enter various default values for a record which apply when you post transactions to that record. This means you don't have to enter those values each time, although you can overwrite the defaults as and when required.

To view or edit defaults on a customer record

  1. Click Customers.
  2. Double-click the required customer to open their customer record.

    TIP: You can use batch changes to amend multiple customer records at once.
  3. Click the Defaults tab.
  4. Amend the values as required then click Save and click Close.

 

Custom Fields
Analysis 1 These fields are available for you to edit for your needs. You can set them up in Settings > Configuration > Custom Fields.

Miscellaneous Defaults
Default Nominal Code Enter the nominal code you expect to use most often when trading with this customer.
Use Default Nominal Code for Sales Sage 50 Accounts Essentials and above - To post product invoices for this customer account using the sales nominal code defined above, select this check box. This overrides the nominal code set on the product record.
Default Tax Code Enter the tax code you expect to use most often when trading with this customer. It only applies to product invoices and orders if you select the check box below.
Use Default Tax Code for Sales To use the default tax code above instead of the product record tax codes when trading with this customer, select this check box.
Currency If you use Foreign Trader, choose the currency for this customer.
Department

NOTE: When creating product invoices and sales orders, the department is picked up from the product record. To override this, Settings > Invoice & Order Defaults > select the Update Using Customer Department check box.

Reporting Password

When you create reports, letters or emails in Sage accounts you can create PDF documents. The documents can be password protected. 


Pricing and Discounting - Sage 50 Accounts Essentials and above
Discount % The percentage discount to give this customer. This discount applies automatically to all invoice and sales order items you enter for this customer.

 

Additional Discount Sage 50 Accounts Plus and Accounts Professional only

Choose any additional discount you want to apply for this customer, based on the quantity or value of their order. These discounts are set on the product record Discount tab.

For example, if you choose Discount A, the customer receives any discounts set up on the Discount A tab of each product record.

Price List Sage 50 Accounts Plus and Accounts Professional only.

If required, choose which price list should apply to this customer.


To view or edit defaults on a supplier record

  1. Click Suppliers.
  2. Double-click the required supplier to open their supplier record.

    TIP: You can use batch changes to amend multiple supplier records at once.

  3. Click the Defaults tab.
  4. Amend the values as required then click Save and click Close.

Default Nominal Code

Enter the nominal code you expect to use most often when trading with this supplier.

Use Default Nominal Code for Purchases

Sage 50 Accounts Professional only - If you want all purchases orders on this supplier account to go to the default nominal code specified in the supplier's account, select this check box.

Default Tax Code

Enter the tax code you expect to use most often when trading with this supplier. It only applies to purchase orders if you select the check box below.

Use Default Tax Code for Purchases

Sage 50 Accounts Professional only - To override the product record tax code with the default tax code when you create purchase orders, select this check box.

Currency

If you use Foreign Trader, choose the currency for this supplier.

Department

Sage 50 Accounts Essentials and above - If you want all purchases to go through a particular department number, from this drop-down list choose the department.

Reporting Password

When you create reports, letters or emails in Sage accounts you can create PDF documents.

Discounts
Discount %

Sage 50 Accounts Professional only - Enter the percentage discount given by this supplier. No conditions need to be met for this discount to be applied, it applies automatically to any purchase order you enter.
