Account Status
Description

The account status is a useful tool to help you manage your customer and supplier accounts. You can assign a status to a customer or supplier record to reflect it's current credit status, for example, account open, exceeded credit limit, or on hold.

Some statuses you apply also place a customer or supplier account on hold. For these accounts, you can set a warning message to display when you post transactions, and, if set to stop the account, you're prevented from posting in the following modules:

  • Quotations
  • Invoices and credits
  • Sales orders
  • Purchase orders

Account status settings for accounts on hold

The Account Status settings determine what happens when you put an account on hold. You can select to show a warning each time you change the account or enter a transaction or you can stop transactions posting to the account.

  1. Click Settings and click Company Preferences then click Parameters tab.
     
  2. In the Transaction Processing area for Display Account Status select either:

    Show a warning on each changeIf you select this option every time you enter a transaction on an account which is on hold a warning appears to advise you of the account status.
    Stop the AccountSelect this option to stop anyone posting invoices or orders to the account.
  3. Click OK.
 
Create or amend an existing account status
  1. On the menu bar click Settings then click Configuration and click the Account Status tab.
  2. Select the Account status that you want to amend then click Edit.
  3. Enter or amend the required Description then select or clear the Marks account as "On Hold" check box as required and click OK.
  4. Click Apply then click Close.

    If prompted to save your changes, click No.
 
Set a default account status for new records
  1. Click Settings then click Customer Defaults or Supplier Defaults.
  2. In the Account status area, click the Default drop-down list and choose the required account status.
  3. Click OK.
 
Amend the account status on a record
  1. Click Customers or Suppliers then open the required record.
  2. Click the Credit Control tab.
  3. Click the Account status drop-down list and click the required status.
  4. Click Save then click Close.
