Report Designer - How to export documents from within Report Designer

You can export reports, layouts, letters or labels directly from within Sage Report Designer.

The export options available

The following file types are available to save as when you export a report, layout, letter or label:

XML FilesThis format produces a .xml file which designates a universal data format for publishing and exchanging structured documents.
PDF FilesThis format produces a .pdf file that provides a secure output format and a document that cannot be amended or altered in any way, making it useful to send to customers and suppliers. The formatting of the report is also perfectly preserved, should you want to email or upload it to a website.
HTML FilesThis option produces a .html file which can be viewed using an Internet browser such as Internet Explorer or Netscape Navigator.
RTF FilesSage 50 Accounts 2010 and below and Sage Instant Accounts v16 and below - This option produces a .rtf file which can be opened in Wordpad, Microsoft Word and other word processing packages.
Excel 97-2003 FilesThis option produces a .xls file which can be opened in Microsoft Excel and other spreadsheet packages.
Excel 2007 FilesSage Accounts 2011 and above - This option produces a .xlsx file which can be opened in Microsoft Excel 2007 and above.
Plain Text - Ansi (default) FilesThis format produces a .txt file which uses the ANSI (American National Standards Institute) character set for use with Windows.
Plain Text - OEM FilesThis format produces a .txt file which uses an 8 bit OEM (Original Equipment Manufacturer) character set which is primarily used as a DOS language.
CSV FilesThis format produces a .csv file which is a true CSV (Comma Separated) file. This places text output in double quotation marks, without padding, leaves numeric fields with no quotation marks and places commas between fields.
CSV - Length Delimited FilesThis format produces a .csv file which is a comma separated file, but is a much more flexible output format allowing you to specify characters other than quotation marks to enclose text and numeric values, specify the separator character other than commas and enable the padding of fields.
Bitmap FilesThis format produces a .bmp file which is a graphical format used within Windows. The format, for example, could be used to export a report from Sage Line 50 to be added to a presentation.
Sage Report Data FilesThis format creates a .datareport file that should only be used when you want to view or print a report in Sage Accounts at a later date, as this format cannot be viewed using any other software. For example, if you want to export your Customer Activity reports, to be viewed at a later date within Sage Accounts, you should export the report, layout, letter or label using the .datareport option.

NOTE: In order to open a .datareport file, the path of the original Sage report (.report file) must remain unchanged, for example, C :\Program Files\Sage\Accounts\Reports\Customer\Customer Activity Reports\CSTACTD.report.


To export your report, layout, letter or label
  1. Open the relevant module, for example, Customers > click Reports or the relevant layout option, for example, Statement.
  2. Locate and select the required document > Edit.
  3. File > Export > complete the Save As window as follows:
    - From the Save as type drop-down list, choose the relevant format, for example, Plain text - Ansi (default) Files (*.txt).
    - Ensure the Save As window displays the directory you want the report to be saved in, for example, My Documents.
    - Enter a file name for the report, ensuring it is easily recognisable, for example, Customer Activity.txt
  4. Click Save > if prompted, enter any required criteria then click OK.

You have successfully exported your report, layout, letter or label from within Sage Report Designer.
